Real, not phantom: approval gates so nothing goes out under your name

The name is a joke about the hours: every role is real, and nothing goes out under your name without your approval.

Phantom can sound like invisible workers. That is not the point.

The name is a joke about the hours. The staff is not invisible.

I chose the brand because solo operators already work phantom hours. Late night inbox. Early morning books. Weekend follow-up. The office should stay staffed after you leave. It should not send the wrong reply at 11 p.m. without you.

What real means in Phantom Office

Every role has:

  • A title (you pick names in class)
  • A written job description
  • A live channel
  • A first task running before you leave
  • A human approval gate so nothing goes out under your name without you

You see what each role did. You are not hoping a black box behaved.

Public pages stay titles only on purpose: Chief of Staff, Admin, Content, Sales, Visibility, Books. Naming happens in the room. Marketing stays titles. That is deliberate.

Why operators care

Solo shops do not need another system that sends the wrong reply at 11 p.m. They need coverage with a brake pedal.

Approval gates are the brake pedal.

Drafts can move. Sends wait. Posts wait. Proposals wait. Public listing edits wait. Accountant emails wait. Payments wait. If a customer, a lead, a platform, or your accountant can see it, it waits for you.

That rule is the same whether you are on complimentary invite seats or the paid Live workshop. Your accounts. Your name. Your approval.

What each role may draft vs what waits

Roles may prepare work and save it in their folder:

  • Chief of Staff may draft status summaries, agendas, and questions for you
  • Admin may draft inbox triage labels, reply drafts, and calendar hold suggestions
  • Content may draft brand voice notes, post drafts, and content calendars from existing posts
  • Sales may draft lead replies, pricing answers from your sheet, and proposal drafts
  • Visibility may draft baselines, punch lists, and proposed GBP or listing edits
  • Books may draft categorization, oddity flags, and month-end report drafts

What cannot go out without you: send email under your name, publish a social post, send a proposal, change a public listing, email the accountant, pay anyone, or move money. Website content edits and new logo creation stay out of bounds for this staff.

How it shows up in the build

In session you:

  1. Set up Chief of Staff and the file home
  2. Bring the other five roles online
  3. Give each a first real job
  4. Approve and go live

That order is deliberate. Confirm the office home works before you flood the roster. Live-by-end-of-day means each role has a live channel, a written brief, a first real task running, and the approval gate on.

Daily review habit after you leave

  1. Open Chief of Staff. Ask what needs approval.
  2. Open the role folder for anything flagged.
  3. Read the draft. Fix facts and tone once. Save the correction in the folder so the brief improves.
  4. Approve, request a change, or kill it.
  5. Only then allow send or publish.

Suggested windows: morning pass plus late-day pass. Do not live in the queue all day after burn-in. The point of staff is coverage, not a second full-time job managing drafts.

Grok Bot in the room

Live is locked on Grok Bot for ease and mobile-friendly setup. Bring an account or set one up live. That is required. Tool subscriptions run about $100 to $200 a month to providers, not to me. Optional Community is $97 a month for a weekly one-hour group call. Bring questions ready.

Live is $597 flat with 12 seats. Complimentary invite is first 12 free with overflow waitlist. The next Live session is Saturday, October 31, 2026, in Frisco. Doors open at 9:30 AM and class runs 10 AM to 2 PM. I share the exact venue after you sign up. Invite track date and venue are still TBA. Who it is for: solo operators and 1-3 person teams stretched thin nights and weekends.
