# What to bring to a Phantom Office session (Grok Bot + the six logins)

Show up ready and the build goes faster: here is the locked bring list for Grok Bot and the six role logins.

Show up ready and the build goes faster. This is the locked bring list (titles only).

I run the room like an onboarding day, not a lecture. You are hiring a staff. The human provisions the accounts. A new role cannot create an email address, calendar, or Drive folder for itself. That part is on you before or during setup. Bring what you already use. Class fills gaps with free options.

## Everyone

- Laptop and charger
- A **Grok Bot** account ready, or plan to set one up live in the room
- Logins for the tools below (bring what you already use)

Grok Bot is required because it is the easiest to start and the most mobile-friendly option for a live room. Phone-only does not work. You will paste prompts, connect accounts, and open folders. A phone will not cut it.

Stable Wi-Fi you control helps. Hotspot backup is smart if the venue Wi-Fi is unknown. The October 31 session is in Frisco, and I share the exact venue after you sign up. Plan for your own backup connection anyway.

## By role

- **Chief of Staff**: Google Drive or Dropbox
- **Admin**: business email + calendar
- **Content**: social logins you actually use + brand logos/photos folder
- **Sales**: website inquiry form access (or note where leads land) + any CRM (else free Airtable in class)
- **Visibility**: Google Business Profile, Analytics, Search Console
- **Books**: Wave if you have nothing, else your existing books tool (QBO/Xero/etc.)

Public pages and this list stay titles only. You pick names in class.

## Human provisioning before you sit down

These are things only a human can set up. Do them ahead of time so the room does not burn on account creation.

- Confirm you can sign in to email, calendar, and file storage on the laptop you are bringing
- Confirm you can create a folder in file storage (you will need write access)
- If your business email is behind an admin (Google Workspace, Microsoft 365), confirm you can connect third-party tools, or bring an admin who can approve access in the room
- Decide which inbox Admin watches first
- Decide which social accounts Content may read
- If you have a website form, know where the form settings, webhook, or notification email live
- Optional but useful: a short one-pager of what you sell and at what prices for Sales

You do not need to pre-create role email addresses unless I ask for that format in the room. Default is staff works through your connected tools, behind your approval gate.

## What not to invent

Do not buy a new stack the week before just in case. Bring what you run. Class fills gaps with free options (Airtable for CRM fallback, Wave for books if you have nothing).

Skip social platforms you abandoned. Skip a CRM you do not have. Skip a paid SEO tool nobody asked for. The locked free visibility stack is Google Business Profile, Analytics, and Search Console.

## Mindset for the day

1. You are onboarding six roles, not installing software.
2. Chief of Staff comes first. Folder structure first. Then the other five.
3. Nothing goes out under your name without your approval.
4. Live by end of day means: live channel, written brief, first real task running, approval gate on, per role.

Who it is for: solo operators and 1-3 person teams stretched thin nights and weekends. Events, hospitality, home services, local agencies. You do not need to be technical. You need logins and a laptop.

## Complimentary vs paid

Invite track: first 12 free, overflow waitlist. Live: $597 flat, 12 seats. Same bring list spirit for both. The paid Live session is Saturday, October 31, 2026, in Frisco. Doors open at 9:30 AM and class runs 10 AM to 2 PM. The invite track date and venue are still TBA.

After the workshop, tool subscriptions run about $100 to $200 a month to providers, not to me. Optional Community is $97 a month. Weekly one-hour group call. Bring questions ready before the call.

**CTA:** RSVP on the invite page (https://dynamicbuzzdigital.com/phantom-office/invite).
